Cost and profit per mile calculator

Use total miles, including empty travel, to compare revenue with operating costs. The result is the remainder after the costs you include.

Enter USD and miles for the same reporting period. The starting figures are an illustrative month, not industry averages. Inputs stay on this page: no account, storage or submission to a server.

Formulas

  • Total miles = loaded miles + empty/deadhead miles.
  • Revenue per total mile = revenue ÷ total miles.
  • Operating cost per total mile = operating costs ÷ total miles.
  • Operating result = revenue − operating costs.
  • Operating result per total mile = operating result ÷ total miles.

The example gives 10,000 total miles, $2.50 revenue per mile, $1.80 cost per mile and a $7,000 operating result, or $0.70 per mile. Both mileage inputs cannot be zero. Negative inputs and non-finite values are rejected; each input is limited to 1 trillion. Displayed results are rounded; calculations use the unrounded inputs.

What to include in operating costs

Use your recorded fuel, maintenance, tires, tolls, insurance, permits and an appropriate share of recurring overhead. State whether compensation for your work is included. Keep all values on the same period and accounting basis.

Count an expense once. Do not add a fuel receipt again if it is already included in your total, or combine a maintenance reserve and the same repair as duplicate costs. Financing, leases, depreciation and tax treatment need a consistent method agreed with your bookkeeper.

This tool does not calculate taxes, reconcile cash flow, allocate overhead automatically or estimate missing expenses. It cannot decide whether a load is right for your business.
